Filter and search the Leads, Pings, Clicks and Conversions lists

Narrow the Leads, Pings, Clicks and Conversions lists with multi-select filters, understand how filters combine and how buyer-scoped statuses work, and search for a specific lead.

Analytics7 min readUpdated

This article shows you how to narrow the Leads, Pings, Clicks and Conversions lists with filters and search, and how to read the results when they look surprising.

All four lists share the same filter behavior, so once you learn the rule on one list it holds on the others.

How filters combine

Remember one rule: OR inside a filter, AND across filters.

  • Picking Campaign A and Campaign B returns rows from either campaign.
  • Adding Buyer X on top returns rows from either campaign that also involve Buyer X.
  • An empty filter means no restriction on that dimension, not "match nothing".

So adding a value to a filter can only grow the list, and adding a new filter can only shrink it. If ticking an extra value makes your list smaller, something is wrong and worth reporting.

What you can filter on

List Filters
Leads Campaign, Buyer, Buyer type, Supplier, Traffic source, Affiliate ID, Sub-source, Lead status, Stage, Country, Test lead, date range, search
Pings Campaign, Buyer, Buyer type, Supplier, Traffic source, Affiliate ID, Sub-source, ping status, Test lead, date range, search
Clicks Campaign, campaign page, Buyer, Traffic source, Affiliate ID, Sub-source, click type, click status, conversion status, offer, offer wall, date range, search
Conversions Direction, Event type, Sub-type, Campaign, Partner, Buyer, Affiliate ID, date range, search

Some filters only appear when the matching feature is on your plan or your role can use it.

Filter a list

  1. Open Leads, Pings, Clicks or Conversions from the sidebar.
  2. Use the filters and date picker at the top of the list.
  3. On Leads, Pings and Clicks, click Advanced Filters for the full set. The button shows a count of the filters you have active.
  4. Tick as many values as you need in each filter.
  5. In the filter panel, click Done to close it, or Clear all to reset it.

Expected result: the list, its total, and any export show only the rows that match every filter you set.

Dependent dropdowns

Some filters narrow the options in the next one:

  • Traffic source, then Affiliate ID, then Sub-source on Leads, Pings and Conversions.
  • Affiliate ID, then Sub-source on Clicks.

Every parent you pick counts. Selecting two traffic sources lists the affiliates of both. Clearing the parent brings back the full list.

On Conversions, changing the campaign clears Partner, Buyer and Affiliate ID, because their options depend on the campaign.

Statuses when you filter by buyer

On Leads, once you pick a buyer or a buyer type, the status column and the Lead status filter switch from the lead's overall status to that buyer's outcome. A lead can be accepted overall, because another buyer bought it, and rejected for the buyer you picked. Both are correct.

  • With several buyers selected, a lead matches a status when any of them has that status. Buyer A plus Buyer B plus Rejected returns leads either one rejected.
  • The status column shows the status that matched your filter, so filtering by Rejected never shows a row marked Accepted.
  • With no status filter, the column shows the best outcome across the selected buyers.
  • A buyer type resolves buyer by buyer within that type. Picking a buyer and a buyer type means "this buyer, if it is that type".

When you open a lead from a filtered list, the detail view shows the lead's own status and, when it differs, the status For buyer or For selected buyers beside it.

Rejection phase

With a buyer selected and exactly one status of Rejected, Duplicated or Error, an extra option appears: Rejection phase for Rejected, or Response phase for the others. Use it to see where in the process that buyer said no. It resets when you change the status.

Stage and reason

The Stage filter lists each stage with its reasons underneath.

  • Ticking a stage selects every lead in that stage, including leads with no reason set.
  • Ticking a stage checks its reasons for you, but ticking every reason does not check the stage. That keeps a reason filter from quietly widening to leads with no reason.
  • Stages and reasons combine by OR. One stage plus a reason from another stage returns both groups.

Display toggles on Leads

Show ping leads only and Show soft rejected only swap which leads you are looking at rather than narrowing the current list. They also apply to exports and to deleting leads.

Search the Leads list

The Leads search box reads what you type in this order and stops at the first match within your current filters:

You type It matches
A whole number The lead's internal ID, exactly
A lead UUID The lead ID exactly, then the click ID exactly. Case does not matter.
Anything else, or a number or UUID that found nothing Text search across the external ID, the lead's status and stage, and the values of its campaign fields such as phone, email and name

Text search is not case-sensitive and treats % and _ as plain characters, not wildcards.

  • A term of three or more characters matches anywhere inside a value.
  • A one or two character term must match the whole value, so ca finds the state CA rather than every value containing "ca".
  • Field names are not searched, only their values.
  • Enriched and integration data is not searched.

The list, its count, and the export all use the same match.

On Conversions, search matches part of the transaction ID or the external ID.

Exports match the list

Every list's export uses the same filters as the list, including the buyer-scoped status, rejection phase and display toggles. What you export is what you were looking at. Exports are prepared in the background and appear on Exports when ready.

Delete every matching lead

  1. Tick the checkbox in the table header to select the leads on the current page.
  2. If more leads match, a bar offers Select all N leads matching the current filters. Click it to select every match.
  3. Click the Delete N leads button.
  4. Read the confirmation. Deleting every matching lead has a 10 second countdown before you can confirm.
  5. If more than 1,000 leads match, a second message names the exact count. Click Delete anyway only if that number is right.

Use Clear selection to go back to the current page only. Redistribute works on ticked leads only, so it is hidden while every matching lead is selected. Only users who can delete leads see the selection bar.

Safeguards:

  • A delete with no filters and no selected rows is refused. A date range only counts as a filter when both the start and end are set.
  • Deleting leads also removes their delivery history, and this cannot be undone.
  • If a delete fails or you cancel, the selection is kept and nothing is shown as deleted.

Troubleshooting

  • Adding a value made the list smaller. That should not happen. Report the exact filters you used.
  • A lead shows Rejected in the list but Accepted when opened. The list shows the selected buyer's outcome, the detail view shows both. See the statuses section above.
  • Searching a short term returns nothing. One or two character terms must match a whole value. Type three or more characters to match part of a value.
  • The Pings row count differs from the bid count in the header. The table lists each delivery step, while the header counts bids.
  • Filtering Conversions by buyer hides outgoing rows. Buyers appear on incoming rows only, so this is expected.

Frequently asked questions

Values inside one filter are combined with OR, and different filters are combined with AND. Adding a value to a filter can only grow the list, and adding a new filter can only shrink it.

With a buyer selected, the Leads list shows that buyer's own outcome for each lead instead of the lead's overall status. A lead can be accepted by one buyer and rejected by another, and both are correct.

A whole number matches the internal lead ID and a UUID matches the lead ID or click ID. Anything else searches the external ID, status, stage, and the values of the lead's campaign fields.

No. Every export uses the same filters as the list, including buyer-scoped statuses and display toggles, so it contains exactly the rows you were looking at.

When the current filters match more than 1,000 leads, Datahubb shows the exact count and asks you to confirm again before deleting anything. Deleted leads and their delivery history cannot be recovered.
