See what each buyer owes with Buyer Billables
Use the Billables page to see how much each buyer company owes you, broken down by campaign, then drill into one buyer and export an invoice-ready CSV.
This article shows you how to use Billables to see what each buyer owes you, campaign by campaign, and export the figures for invoicing.
Billables is a read-only finance view. Analytics reports on lead performance, while Billables answers one question: how much does each buyer company owe for the leads it bought?
Prerequisites
- You are an admin. Billables is not shown to other roles.
- The Billables feature is on your plan. If Billables is missing from the sidebar, it is not included in your plan.
How the table is built
The page shows a grid with one row per buyer company and one column per campaign.
- Each cell shows the billable amount for that buyer in that campaign, with the number of sold leads in brackets next to it.
- The Total column sums each row, and the Grand Total row sums each column.
- Every buyer that belongs to the same client company is folded into one row, even if it uses a different buyer name in different campaigns. You bill the company once, not once per buyer record.
- Every company and campaign with at least one buyer appears, even with no sales in the selected range, so empty cells show as zero rather than disappearing.
A sale counts as billable when it was not returned, it matches the selected sale status, and the lead is not a test lead. Deleted buyers are left out entirely.
Read the billables table
- Open Billables from the sidebar.
- Review the table. On first load it shows all-time data, across all campaigns, for Active Sale.
- To narrow it, pick one or more campaigns in All campaigns.
- To focus on specific companies, pick them in All buyers.
- Choose a status in Sale status:
- Active Sale: sold leads.
- Pending Sale: leads sold on a cost-per-acquisition contract that the buyer has not confirmed yet.
- Active + Pending: both.
- Set a date range with the date picker, which reads All time until you change it.
- Click the refresh button next to the campaign filter to reload the figures.
Picking a buyer company also trims the columns to the campaigns where that company has buyers.
Expected result: each row shows what one company owes per campaign for the range and status you chose.
Drill into one buyer
- Click any row in the table.
- Read the six summary cards: Pings, Posts, Sold Leads, Returned, Pending, and Billable.
- Review the Per Campaign table for pings, posts, sold leads, and billable amount in each campaign.
- Scroll to Transactions for one row per billable sale, newest first, with Sold At, Campaign, Lead, and Sale Price.
Pings and posts count delivery attempts, one per lead sent to the buyer, not individual retries. Posts include leads delivered by email or Google Sheet as well as normal posts.
The transaction list uses the same rules as the table, so it adds up to the row you clicked.
Export for invoicing
- On the Billables page, click Export.
- In Export Billables, select the campaign columns to include. Company and Total are always exported.
- Optionally save the selection with Create Preset, or pick a saved one from Select a preset.
- Turn on Automatically use saved fields next time if you want the same columns every time.
- Click Export.
The file is prepared in the background. You can download it from Exports in the sidebar when it is ready.
In the export, Total sums only the campaign columns you selected, so a partial export still adds up.
To export one buyer's transactions instead, open the drill-down and click its Export button. That file lists each sale with its date, company, campaign, lead ID, sale price, and status.
Troubleshooting
- The drill-down shows far more pings and posts than the Pings list. With no campaign selected, the drill-down counts every campaign that buyer works in. Select the same campaigns in Billables before you compare.
- A buyer is missing. Deleted buyers are excluded from billing on purpose. Also check that your campaign and buyer filters include it.
- Two companies with the same name show as separate rows. Rows are grouped by client company, not by name, so two different companies never merge.
- A row is labelled (Unclaimed). Those buyers are not linked to a client company. The row appears in the full table but cannot be picked in All buyers. Link the buyers to a company to bill them properly.
- A declined lead is not in Returned. Returned counts only returned leads. A lead the buyer declined on a cost-per-acquisition contract is neither billable nor a return.
- The page opens on all-time numbers. That is intentional. Set a date range to narrow it.
